Best Infra ("Best Infra," "we," "us," "our") provides smart metering solutions, analytics dashboards, and related services ("Services"). This Privacy Policy explains how we collect, use, disclose, and protect personal data when you use our websites (e.g., bestinfra.org), dashboards, mobile/desktop apps, APIs, and integrations.

If you are an enterprise customer (e.g., DISCOM, utility, enterprise) providing us access to your end-users' data, we act as a data processor/service provider, while you remain the data controller/data fiduciary Where we act as the data fiduciary (for example, site visitors, prospects, and account administrators), this Policy applies directly. This Privacy Policy also applies specifically to our BestSmartMeters App, which is used by consumers with installed meters to access usage details, billing, alerts, and support tickets.Users can log in using their user ID, email, or mobile number. This Privacy Policy also applies specifically to our Nexus Field Force App, which is used by field officers/ technicians to receive issue alerts and resolved alerts, access troubleshooting steps, manage assigned modems, and securely log in using mobile number and OTP. This Privacy Policy also applies specifically to our NexusInventory Application, which is used internally by Best Infra personnel to manage warehouse assets, including inward and outward tracking, inventory monitoring, and operational management.Users can log in using mobile number with OTP or username and password. This Privacy Policy also applies specifically to our BestSmart WFM Application,which is used by field officers for installing smart meters under Railway Projects.Users can log in using username and password or mobile/email OTP.

For decades, India relied on manual meter reading and later shifted to AMR (Automated Meter Reading) systems. While AMR helped eliminate some inefficiencies, it was not designed to support a future-ready, data-driven power sector. That's where AMI (Advanced Metering Infrastructure) comes in — a smarter, scalable, and two-way system that is now becoming the backbone of India's energy future.

1. Categories of Data We Collect

a) Data You Provide

We collect information you provide directly to us when you create or manage an account, contact support, or engage with our Services. This includes:

  • Account details (name, business email, phone, organization, role)
  • Login credentials (stored in hashed format)
  • Support queries, feedback, and communications
  • Billing details (billing contact, address; payments processed via third-party gateways)

b) Device & Platform Data

From smart meters, IoT devices, and integrated platforms, we collect:

  • Meter identifiers, firmware versions, device status, and alarms
  • Telemetry such as consumption, voltage/current, power factor, frequency, tamper flags, and event logs
  • Network diagnostics (timestamps, IP addresses, connection logs)
  • Optional device or asset location
  • Integration metadata from SCADA, AMR (BI Modem Installation) (Automatic Meter Reading), and MDMS systems

For AMR (BI Modem Installation) specifically

  • Automated meter reading logs
  • Polling timestamps and schedules
  • Data packets and transmission records
  • Error codes, diagnostic events, and failed read attempts
  • This data enables accurate billing, tamper detection, and near real-time operational monitoring.

c) Automatically Collected Data (Web/App)

When you access our web or mobile applications, we automatically collect:

  • Usage analytics (pages visited, clicks, session duration)
  • Cookies/SDK data
  • Device/browser type and version
  • Approximate location (via IP address)
  • Crash logs and performance metrics

d) BestSmartMeters App Data

From users of the BestSmartMeters App, we collect:

  • Account & Authentication Data: user ID, email, mobile number, and hashed login credentials.
  • Usage & Consumption Data: meter readings, consumption patterns, alerts, and notifications.
  • Billing and Payment Data: Billing address, invoices, payment history, and transactions via secure third-party gateways.
  • Support & Ticketing Data: user queries, tickets, and service requests.

This data enables personalized dashboards, real-time notifications, billing, and efficient support, while maintaining robust security and privacy standards.

e) Nexus Field Force App Data

From users of the Nexus Field Force App (field officers/technicians), we collect:

  • Authentication Data: Mobile number, OTP verification details (we do not store OTPs).
  • Profile & Assignment Data: officer name/ID, assigned regions, roles, and permissions.
  • Alert & Notification Data: issue alerts, resolved alert notifications, timestamps, and alert categories.
  • Troubleshooting Interaction Data: steps viewed, troubleshooting actions performed, resolution logs.
  • Issue & Resolution Images (Before and After Images): Images captured before resolving an issue (issue images) and after successful resolution (success images) for verification, audit, quality assurance, and operational tracking purposes.
  • Device & Asset Data: list of modems/assets assigned, active alerts, resolved cases, timestamps, and activity logs.
  • Usage Data: app activity, session logs, clicks, navigation flow, and crash diagnostics.
  • Optional Location Data: approximate or precise location for field task mapping (if permitted by the user/device).

This data enables field officers to receive real-time alerts, troubleshoot issues faster, resolve modem problems efficiently, and maintain operational transparency for enterprise monitoring.

f) NexusInventory Application Data

From use of the NexusInventory Application (used internally by Best Infra personnel), we collect:

  • Authentication Data: Mobile number with OTP-based login (we do not store OTPs), and/or username and password (stored in hashed format).
  • Profile & Role Data: Employee name, roles, permissions, assigned warehouses, and access levels.
  • Asset & Inventory Data: Asset identifiers, categories, quantities, serial numbers, batch details, stock levels, and asset lifecycle status (e.g., inwarded, available, outwarded, faulty, service Products).
  • Warehouse & Location Data: Warehouse details, storage locations, bin/slot identifiers, and asset movement between warehouses.
  • Transaction & Activity Data: Inward and outward records, stock transfers, allocations, returns, adjustments, timestamps, and audit logs.
  • Vendor & Procurement Data: Supplier details, purchase records, invoices, delivery records, and related documentation.
  • Usage Data: Application activity, session logs, clicks, navigation flow, and performance diagnostics.

This data enables efficient inward and outward tracking of assets, inventory control, auditability, and operational transparency within Best Infra.

g) BestSmart WFM Application Data

From use of the BestSmart WFM Application (used by field officers for installing smart meters under Railway Projects), we collect:

  • Authentication Data: Mobile number with OTP-based login (we do not store OTPs), and/or username and password (stored in hashed format).
  • Profile & Role Data: Field officer details such as name, employee ID, assigned regions, assigned projects, assigned roles, and permissions.
  • Installation Data: Meter installation details including meter IDs, installation status, timestamps, task progress, completion records, and workflow tracking.
  • Image & Camera Data (Installation Proof): The application requires use of the device camera to capture images during meter installation (such as before and after installation photos). Capturing and uploading these images is mandatory for completing installation tasks. These images are stored and used for verification, audit, quality assurance, and operational tracking purposes.
  • Location Data: The application collects location data during installation activities to verify installation sites, support field operations, and ensure accurate project tracking. Location capture may be required to complete installation tasks.
  • Permissions Usage: Camera and location permissions are requested only when required for specific features such as capturing installation images and verifying installation locations.
  • Usage Data: Application activity, session logs, clicks, navigation flow, and performance diagnostics.

This data enables field officers to complete meter installations, capture mandatory installation proof (images), verify installation locations, track assigned tasks, and ensure operational transparency for Railway Project execution.

2. How We Use Data

We use the data collected to:

  • Deliver and operate our Services, including ingesting smart meter and AMR (BI Modem Installation) data, generating dashboards, reports, and alerts
  • Configure devices and integrations; verify account access; secure the platform
  • Analyze usage patterns to improve reliability, performance, and features
  • Provide customer support, incident response, and service notifications
  • Comply with legal and regulatory obligations (tax, audits, fraud prevention, cyber-security)
  • Send marketing communications, where permitted, with consent and an opt-out option
  • Deliver and enhance the BestSmartMeters App by providing personalized dashboards, real-time alerts, secure billing and payments, and efficient support. Analyze usage patterns to improve features, reliability, and security.
  • Deliver and support the Nexus Field Force App by enabling field officers to receive issue alerts and resolved alerts, access troubleshooting steps, manage assigned modems, and securely log in using mobile number and OTP
  • Deliver and support the NexusInventory Application by enabling internal asset tracking, warehouse management, inward and outward operations, and inventory monitoring.
  • Deliver and support the BestSmart WFM Application by enabling field officers to perform meter installations, capture installation proof (images), record location data for verification, manage assigned tasks, and ensure efficient workflow execution for Railway Projects.

3. Legal Bases for Processing (India – DPDP Act 2023)

  • Consent (where provided by the individual)
  • Performance of a contract (to deliver Services)
  • Legal obligations (audit, tax, regulatory)
  • Legitimate uses consistent with user expectations and DPDP principles

You may withdraw consent at any time, without affecting processing already carried out.

4. Technologies We Use

We rely on technologies to deliver and secure our Services, including:

  • Cookies and SDKs for authentication, session continuity, preferences, analytics, and security
  • APIs, webhooks, and integrations, including SCADA, Automatic Meter Reading (AMR (BI Modem Installation)), and MDMS systems
  • Security technologies such as encryption, monitoring, and access controls
  • Device Permissions: Our mobile applications require access to certain device features such as the camera (to capture mandatory installation images) and location (to verify installation sites and support field operations). These permissions are essential for core functionality of the application.

5. Data Sharing & Disclosure

We share personal data only in accordance with this Policy:

  • Sub-processors and service providers (cloud hosting, analytics, support, and payment gateways) under strict contractual safeguards
  • Integration partners (including SCADA, AMR (BI Modem Installation), MDMS systems, BestSmartMeters App and BestSmart WFM Application) where required for your Services
  • Affiliates for operational purposes consistent with this Policy
  • Authorities when legally required, or to defend our rights
  • Business transfers (e.g., merger or acquisition), where data will remain subject to this Policy or a similar notice
  • We do not sell personal data

6. International Transfers

Data may be processed outside your home state or country (e.g. cloud regions). We apply contractual, organizational, and technical safeguards to protect your data consistent with applicable laws.

7. Data Security

We use layered security to protect personal data, including:

  • Encryption in transit and at rest
  • Role-based access controls and least-privilege principles
  • Regular penetration testing and vulnerability assessments
  • Audit logs and monitoring
  • Backup and disaster recovery procedures
  • Defined incident response protocols

8. Data Retention

We retain data only as long as required for legitimate purposes:

  • Raw device telemetry and logs: up to 24 months (configurable by contract)
  • Aggregated or derived analytics: longer, anonymized wherever possible
  • Account, billing, and compliance records: as required by law or contract

At the end of the retention period, we delete or anonymize data. Enterprise customers may request shorter retention periods under contract.

9. Your Rights (Data Principles)

For enterprise-linked accounts, we may verify your identity and coordinate with your enterprise controller before fulfilling requests.

Our Services are intended for business and enterprise use. We do not knowingly collect personal data of children. If you believe a child's data has been shared with us, please contact us for removal.

11. Third-Party Links & Integrations

Our websites and dashboards may contain links to third-party tools or services. Their privacy practices are governed by their own policies, and we recommend reviewing them.

12. Policy Updates

We may update this Policy periodically. The effective date will always be posted at the top. For material changes, we will provide notice via service banner or email where appropriate.
